Cuts, colour, nails and treatment rooms

Hair salon software that answers WhatsApp while you work.

While your hands are busy, the agent answers prices and opening hours from your service menu and gets the appointment ready for the client to confirm.

Hair and beauty salons

  • Slots sized to each service
  • Each professional, with their own hours
  • The menu, always up to date
  • Appointments the salon decides on

What Aipiter does in a hair or beauty salon

Aipiter brings together the salon’s WhatsApp, a service menu with price and length, and the hours of each professional or treatment room. The AI agent answers from the published list of services, offers slots as long as the service and prepares the appointment; once the client taps the button, it goes into the calendar with its slot taken. Every client has a record with her appointments and conversations.

A day in the salon

Hands in the dye, WhatsApp taken care of.

A day in a salon with two hairdressers and a beauty treatment room, hour by hour.

  1. Three appointments booked overnight

On opening, the front desk finds a cut, a colour and a facial requested during the night, each with the length of its service, and writes to each client from Conversations to confirm them.

  2. How much is a straightening treatment?

While you are styling, a client asks the price. The agent gives it to her exactly as it appears on the menu and offers two times when the whole service fits.

  3. From Friday to Saturday

Another client wants to move her appointment. The agent finds the one she had, offers Saturday and, when she taps the confirm button, the Friday slot becomes free again.

  4. A colour she did not like

A client writes in, unhappy with last week’s colour. It is a complaint: the agent tells her the team will deal with it, and the salon owner takes the conversation.

  5. With the shutters down

Someone asks about Sunday. No professional works that day, so there are no slots, and the agent offers Saturday morning instead.

  6. First thing tomorrow

A request comes in for nine o’clock the next day. Its slot is no longer offered to anyone else, and the front desk will review it on arrival.

The biggest time drains in a salon, handled in the panel.

Six tasks that keep the front desk busy between one client and the next, alongside the part of Aipiter that takes care of each.

  • Slots sized to each service

Every service on the menu has its «Visit length» and, if you like, a buffer before or after to tidy up and get the station ready. A two-hour colour offers two-hour slots, and a manicure offers its own.

  • Each professional, with their own hours

Each hairdresser, beautician or treatment room is a resource with its own opening hours, day by day. If someone does not work on Mondays, the agent does not offer Mondays with her. Every service is linked to its main resource, so a facial is offered in the treatment room and not in the cutting chair.

  • The menu, always up to date

The prices and lengths the agent gives come from the published menu. A new service is prepared as a draft and published when it is ready. One you no longer offer is withdrawn with «Withdraw now» and a reason, and stops being offered at that moment.

  • Appointments the salon decides on

The client gives the go-ahead by tapping Confirm and the appointment comes in as «Awaiting confirmation», with its slot already taken. The front desk then confirms it with a message. The full journey, with changes and cancellations, has its own page: appointments and bookings.

  • Clients with a history

Each client’s record brings together her appointments, with their status, and the chats in which they were requested. If she gives her name or her language in the chat, the agent notes it itself; in lists, her phone number is masked. All of it is kept in the CRM, with no separate client notebook.

  • Complaints with a name attached

A complaint, a refund or a request to speak to someone passes to the team with the whole conversation and a summary of what the client said. If something needs to be made up for, a person decides. How the front desk shares out those chats: customer service.

Day one

From the first day to the daily routine.

One setup session with you, and two steps that repeat with every client.

  1. Menu and team

We move your services into Aipiter with their price and length, along with each professional or treatment room and their hours.

  2. Clients write in

The agent answers questions about prices and hours, offers the slots that fit and leaves the appointment ready for the client to accept.

  3. The front desk confirms

Each appointment appears in the calendar with its slot held, and the front desk messages each client to confirm it.

Hair and beauty with the same building blocks

A hair salon and a beauty salon book in the same way: services with a length, professionals with hours and clients who write on WhatsApp. What changes are the services and how long they take.

In beauty, treatments tend to be longer and take place in a treatment room. Each room can be a resource with its own hours, and each treatment a service with its own length and buffers.

Your card terminal stays as it is

Aipiter does not act as a till: if you already have payment software or a card machine, it stays exactly as it is, and invoices come from your invoicing software, connected through integrations.

Aipiter works before the payment: on how appointments arrive, how questions get answered and how the front desk knows who is coming in today.

Your regular clients

A salon lives on repeat visits. When a client writes again, her record already holds her previous appointments and the messages that went with them.

The agent answers her in her language, Spanish or Catalan, and if she says which she prefers, that is saved in her record for the whole team.

Barbershops: every chair with its own calendar

In a barbershop, each barber has their own hours and their regulars. Appointments are booked with the length of each service (cut, beard or both) and with whoever does it, and the assistant answers on WhatsApp which times are left and the price of what you have published.

If someone cancels, that time is offered first to whoever had a later appointment, with a deadline to decide, and the reminder the day before keeps the chair from sitting empty.

What salons ask

Is it appointment software for hair salons?

For appointments requested on WhatsApp, yes: the agent offers slots based on the length of the service and each professional’s hours, and the appointment goes into the calendar for the front desk to confirm.

Does it answer the salon’s phone?

Yes, with the AI receptionist: while you are with a client, it picks up, gives prices and free slots from the menu and leaves the appointment for the front desk to confirm. What each client asked for is noted in her conversation, and the call is not recorded.

Does it respect how long each service takes?

Yes. Each service has its length and buffers, and the slots offered are that size.

Can I set hours for each professional?

Yes. Each professional or treatment room has its own hours for each day, and the slots come from there.

Is the appointment confirmed automatically?

No. It comes in as «Awaiting confirmation», with its slot taken, and someone at the salon gives the client the confirmation by writing to her from her conversation.

Is the client reminded of her appointment?

Yes: appointment reminders reach her on WhatsApp before the appointment, in a message Meta has approved. If she writes to ask what time it was, the agent looks up her appointment and tells her.

Does it work for a beauty salon?

Yes. Treatments are services with their own length and treatment rooms are resources with their own hours, just like the chairs in a hair salon.
