Inventory, purchasing and suppliers

Inventory management software that knows what you have, where and what is missing.

Stock per warehouse, site or van, every movement with its reason and, when something drops below its minimum, a purchase request ready for you to approve.

Inventory management

  • Stock per location
  • Movements with a reason
  • Minimums that prepare the purchase
  • Batches, expiry dates and serials

What Aipiter’s inventory management is

It is Aipiter’s inventory module for companies without stock software. It tracks products per warehouse, site or vehicle, with what is available, reserved and used, and records every receipt, issue, transfer, return or adjustment with its reason: no quantity changes without an explanation. When something drops below its minimum, it prepares a purchase request with supplier, quantity and price, which someone approves before it becomes an order. If your stock already lives in your online shop or in Holded, the data stays theirs and Aipiter only displays it.

A product, from minimum to restock

It runs low, it is ordered, it is restocked.

What happens to an everyday material as it nears its minimum.

  1. It is used

Each issue is logged: who took it, from where and for which job, if it is linked to a work order.

  2. It drops below minimum

Aipiter prepares the purchase request with the supplier, the quantity and the last known price.

  3. Approved and received

Someone with permission approves it and it becomes an order. On arrival, receiving adds the stock, even if it comes in two deliveries.

What inventory management covers.

Six pieces so you always know what you have and buy with real usage in view.

  • Stock per location

Warehouse, site, clinic or van: each place with its available, reserved and used stock, and transfers between them recorded.

  • Movements with a reason

Receipts, issues, usage, returns and adjustments go into a movement ledger. Nobody changes a quantity without leaving an explanation.

  • Minimums that prepare the purchase

When stock drops below its minimum, the request arrives ready. It never becomes a sent order without someone approving it.

  • Batches, expiry dates and serials

For products that need it, each batch carries its date and each unit its number, and stock counts are compared with the records.

  • Units and kits

You buy by the box and use by the unit; a kit deducts its components. Conversions are configured, not guessed.

  • Your online shop is in charge

If you sell with Shopify, WooCommerce or Holded, their stock shows in Aipiter exactly as it is there. There are never two systems that think they own the same inventory.

Count sheet versus panel

Inventory without finding out what is missing on the day you need it.

Stock by eye

  • What is missing is found out when there is none left.
  • The sheet’s quantities do not match the stockroom.
  • Nobody knows who took what or what for.
  • Extra is ordered just in case.

Stock in Aipiter

  • The minimum warns and the purchase arrives ready.
  • Every quantity has its movements behind it.
  • Every issue carries who, from where and what for.
  • Buying happens with real usage in view.

Stock control for businesses that are not a shop

A clinic with its supplies, a workshop with its parts, a restaurant with its stockroom or a maintenance company with vans: stock matters even if nothing is sold online. Aipiter keeps it next to the work that uses it, and in the panel you can ask which materials are missing and for which jobs.

Inventory software with supplier purchasing

Purchase requests carry their supplier, quantity and price. They go through approval, become orders, are tracked and received, in parts too, without counting what arrives twice.

If your stock is already in another program

You can leave it connected, and then your program stays in charge, or bring it into Aipiter: it is imported, reviewed as a draft and compared for a while before ownership changes. Both are never editable at the same time.

Stock, tied to the rest of the work

Materials for each work order come out of stock, quotes use the same catalogue with its prices and, if you sell online, the shop brings its stock and orders.

Questions about inventory management

Can I track more than one warehouse?

Yes. Each warehouse, site or vehicle has its own stock, and transfers between them are recorded.

Does it order from suppliers on its own?

No. It prepares the purchase request when something drops below its minimum; it becomes an order when someone with permission approves it.

Can I use barcodes?

Yes. Each product can carry its barcode, and stock counts are compared with the movement ledger.

Does it handle batches and expiry dates?

Yes, for products that need them: each batch with its expiry date and, where relevant, each unit with its serial number.

I sell with Shopify or WooCommerce. What happens to my stock?

Your shop stays in charge. Aipiter shows that stock exactly as it is there and does not modify it, so there are never two different inventories.

What if someone corrects a quantity?

It is recorded as an adjustment, with who made it, when and why. A quantity never changes without leaving a trace.

Can I ask which materials are missing?

Yes. In the panel you ask what is missing for this week’s jobs and Aipiter answers with the stock and work order data.

Let the minimum warn you before a customer does.

We show you the stock of a business like yours: locations, movements and how a purchase arrives ready.
