Bookings, quotes and repairs

Workshop software that answers the phone while your hands are in the engine.

When the workshop phone rings, the voice agent picks up and takes the booking; then quote, work order and parts carry on in the same panel.

What Aipiter does for a workshop

Aipiter handles a workshop’s bookings by phone, with the voice agent, and on WhatsApp, with the assistant, and runs what comes next in the same panel: the quote at your rates, the work order with its parts and the stock in your stockroom. Each car stays with its customer, their visits and their quotes. If you invoice with Holded, invoices keep coming from there.

A Tuesday at the workshop

The phone rings when you are under a car.

A Tuesday in a four-mechanic workshop, from shutters up to the last car handed back.

  1. The morning’s cars

At opening, three booking requests that came in overnight on WhatsApp are waiting in the calendar, each with the car and what is wrong with it. They are confirmed from each customer’s conversation.

  2. A call with dirty hands

Nobody can pick up. The voice agent answers: it is a service before a trip. It offers Thursday’s slots and puts the request in the calendar.

  3. A brake quote

After looking at the car, the workshop manager prepares the quote on the phone: parts and labour come out at your rates. It goes out as a PDF with your brand and waits for a reply.

  4. A part is missing

A Golf’s work order flags a blocker: no pads left in that size. Low stock has already prepared the purchase request to the supplier, waiting for your approval.

  5. Is my car ready?

A customer asks on WhatsApp. The agent does not make it up: it passes the question to the team, who see on the work order that the car is done and reply in the same conversation.

  6. After closing

Someone calls with a car that will not start. The agent takes down the problem and a contact number, offers the first free slot and flags it for the team first thing.

From the phone call to the car handed back, in one panel.

Six moments of a workshop’s day and who handles each one in Aipiter.

  • The phone, answered

Calls keep coming to the workshop’s usual line, where the voice agent takes them, knowing your hours, your services and which slots are left. Nothing is recorded; what each person asked for is written down.

  • Bookings by workshop slot

You set how many cars fit and the duration of each service, and the agents only offer what is free. If someone cancels, the slot is offered to whoever is waiting. How it works: appointments and bookings.

  • Quotes at your rates

Parts and labour come from your catalogue, the software does the maths and the quote goes out as a PDF with your brand. More in quote software.

  • One work order per car

Each car has its work order with the mechanic, parts, checklist and photos. If something is missing, the work order flags it. More in work orders.

  • Parts in the stockroom

Inventory control tracks parts by shelf or stockroom and, when something drops below its minimum, prepares the supplier order for you to approve.

  • Each car, with its customer

The customer, their cars, their visits and their quotes stay in the CRM. Next time they call, the team knows what was done.

Getting started

From the workshop notebook to the panel in three steps.

One setup with you; from then on, every car follows the same route.

  1. Services, rates and parts

We move your services with their duration, your labour rates and your parts into Aipiter. If you keep them in Excel or Holded, they come in by file or by connection.

  2. Customers book

By phone or WhatsApp, the agents offer the free slots; each booking waits until the workshop confirms it.

  3. The workshop gets to work

The accepted quote leads to the work order, with its parts and its mechanic, until the car is handed back.

Why voice matters in a workshop

In a workshop, whoever could answer the phone is usually under a car. Calls to book come in at any moment, and one nobody picks up is a customer trying the workshop next door.

Spanish and Catalan are its languages; it says it is an assistant and gives no prices or diagnoses the workshop has not published.

Repair shops and technical services

The same works for a body shop, a motorbike workshop, an appliance repair service or a refurbishment company: booking, quote, work order and parts, each with its own services and its own way of naming things.

Your invoicing stays where it is

Aipiter is not invoicing software: if you invoice with Holded, invoices keep coming from there and the panel links each quote to its invoice when it has that data. It connects through integrations.

What workshops ask

Is it complete workshop software?

It covers bookings by phone and WhatsApp, quotes, work orders, parts and each customer’s record. Invoicing stays in your program, such as Holded.

Does the voice agent give prices or diagnoses?

Only the prices you have published, such as an oil change. A diagnosis or a repair quote comes from the workshop after seeing the car.

Can the customer ask whether their car is ready?

Yes, on WhatsApp or by phone. The agent passes the question to the team, who see the status on the work order and reply in the same conversation.

Does it track stockroom parts?

Yes. Inventory control knows which parts you have, warns when something drops below its minimum and prepares the supplier order for you to approve.

Can I make the quote on my phone?

Yes. It is prepared and sent from the phone’s browser, at your rates and as a PDF with your brand.

Is the customer reminded of the booking?

Yes, with a WhatsApp reminder for customers who have agreed to it, and they can confirm or change the booking by replying.

What if I already use workshop software?

Your customers, cars and parts can be brought into Aipiter from a file, reviewed as a draft and, from then on, one place is in charge.

Let the next customer who calls not end up at another workshop.

We show you, with a real day at your workshop, how the agent would answer your calls and how each car moves until it is handed back.
