Rotas, changes and cover

A shift scheduling app without spreadsheet rotas or group-chat swaps.

Aipiter drafts the rota from your team’s availability and rules, you publish it once you approve it and, if someone drops out, it offers the shift to whoever can cover.

Shift scheduling

  • Rules and preferences
  • Cover per time slot and site
  • What each person can do
  • Clear when it does not fit

What Aipiter’s shift scheduling is

It is Aipiter’s shifts module. From your people, their working hours, their availability, what each one can do, your sites and the cover you need, it drafts a rota that respects the rules you set. You review it, approve it and it is published: each employee sees their shifts on their phone and gets a notice if anything changes. If someone cannot make it, it looks for who is available and offers them the shift; nobody is assigned without accepting. Approved holidays are already counted, and actual hours come from time tracking.

A rota, from draft to last-minute change

Drafted, published and covered.

What happens to the weekly rota of a team that works in shifts.

  1. Aipiter drafts

With availability, approved holidays and the cover each time slot needs, it prepares the rota and tells you if you are short.

  2. You approve

Change whatever you like, approve it and it is published. Each person gets their shifts and has them in their calendar.

  3. Someone drops out

Aipiter asks people who can cover, in order and with a deadline. The first to accept takes the shift and the rota updates.

What the rota takes into account.

Six pieces so the rota comes out done and stays current through the week.

  • Rules and preferences

You separate what cannot be broken, like the rest between shifts you set, from what it tries to respect, like someone who prefers mornings.

  • Cover per time slot and site

You say how many people you need in each slot and with which profile, and the draft covers it or shows you where it falls short.

  • What each person can do

Who cooks, who works the floor, who holds the certification a role needs: each person only goes where they can be.

  • Clear when it does not fit

If your rules make full cover impossible, it says so; if it cannot finish the calculation, it says that too. It never passes off a rota that does not work.

  • Accepted cover

When someone is off, it finds who is available with the right profile and asks them. Nobody is put on a shift without accepting it.

  • Shifts on the phone

Each employee sees their calendar, adds it to their own if they like and gets a notice with every change, linking to the current version.

Group chat versus panel

The rota, without screenshots or old versions.

Rota by hand

  • Building the week’s rota takes an afternoon.
  • A photo goes to the group and every change leaves another version.
  • Covering a last-minute absence takes ten phone calls.
  • Nobody knows which rota is the right one.

Shifts in Aipiter

  • The draft arrives done with your rules.
  • There is one published version and everyone sees theirs.
  • An open shift is offered to whoever can cover it.
  • Each change notifies whoever it affects.

A shift rota for hours that change every week

In a shop, a restaurant, a cleaning company or a home-care team, the timetable changes every week and building it is the longest job for whoever runs the team. Aipiter leaves the rota drafted; what is left for you is reviewing and publishing it.

A work shift app for your staff

Each person has their shifts on their phone, without hunting for the latest photo of the rota in a group. They can request a change or say they cannot make it, and they hear straight away about anything that affects them.

What the rota does not decide for you

Aipiter respects the rules you set, but it does not know your collective agreement on its own: your sector’s conditions are entered by you or your accountant. That is why each draft is reviewed and approved before it is published, and the final decision is yours.

Questions about shift scheduling

Does it build the rota on its own?

It prepares a draft with your rules, availability and the cover you ask for. You publish it once you have reviewed and approved it.

What if someone cannot make their shift?

Aipiter finds who is available with the right profile and offers them the shift with a deadline. The first to accept takes it; if nobody does, the shift stays open and you see it on the rota.

Can it put someone on a shift without asking?

No. Nobody is put on a shift without being available and accepting it, and only people with permission can make changes.

Does it follow the collective agreement?

It respects the rules you set, such as rest periods or maximum hours. The agreement does not come built in: you or your accountant enter those conditions, and the rota is reviewed before it is published.

How do employees see their shifts?

On their phone, with their calendar and a notice when anything changes. They can also add them to their own calendar.

Does it work for several sites?

Yes. Each site has its own cover and its own people, and someone who can work at two sites appears at both.

I already do shifts in Factorial or Sesame. Does it work for me?

Yes. Your shifts keep living there, and Aipiter reads them to show them next to bookings, clock-ins and customers.

Let the week’s rota arrive ready.

We show you a draft rota with your sites, your rules and your staff, and how an absence gets covered.
