Automatic replies with limits

AI WhatsApp chatbot that asks before it books.

The agent answers on your WhatsApp with what your team publishes. To book, change or cancel, it sends a proposal the customer accepts with a button.

WhatsApp assistant

  • What it knows comes from «My business»
  • Prices and times, from the catalogue
  • Policies with their verified text
  • Name, greeting and tone

What Aipiter’s WhatsApp chatbot is

It is an assistant powered by artificial intelligence that handles your company’s WhatsApp from the Aipiter panel. It writes each reply from the information published in «My business», checks the catalogue and the calendar before giving a price or a time, introduces itself as a virtual assistant from the first message and prepares bookings for the customer to confirm. Opt-outs, complaints, receipts, refunds and exceptions go to the team, as does any chat in which the customer asks to speak to someone.

Three fixed behaviours

What it always does, however the customer writes.

It does not matter how the question is worded: on these three points the agent never improvises.

  1. It introduces itself as an assistant

Before its first reply comes a fixed notice, with your business’s name, making it clear that a virtual assistant is answering and that the customer can ask for someone on the team. It appears again after twelve hours of silence and whenever the chat comes back from a person.

  2. It proposes and waits

To request, change or cancel an appointment, it sums up what is being done and sends it with buttons to confirm, change or cancel. Without that tap nothing is created, and in the meantime the conversation’s activity shows «Awaiting confirmation».

  3. It passes on what is delicate

If the customer asks to speak to someone, or the matter is listed in «Always hand over to a person», the agent alerts the team and the chat moves up to «Need attention» with its full history.

How it is set up and how it is controlled.

Each piece has its own screen in Aipiter and leaves a trail in the conversation.

  • What it knows comes from «My business»

Your team writes the business information in cards by category, and the agent only reads the published version. Each publication has its version number and, if one goes wrong, the previous one is restored.

  • Prices and times, from the catalogue

Prices, times and places are not copied into loose texts: the agent checks them in the catalogue and the calendar every time. If a price is not published, it asks or passes the chat to the team. What happens to each booking is in appointments and bookings.

  • Policies with their verified text

Rules are published with a «Verified text» per topic: «Customer service», «Payments», «Cancellations» and «Exchanges and returns». An imported text is not used until the team confirms it.

  • Name, greeting and tone

In «Configure assistant» you give it a name, a greeting and one of three tones, and set the «Human support hours» and its languages. It is presentation: a greeting gives it no permissions and cannot skip a confirmation.

  • Topics that always go to the team

«Always hand over to a person» comes with opt-outs, payments, receipts, returns, complaints and exceptions, and you rewrite it your way. It never asks for cards, accounts or health data, and if they are sent it explains not to send them that way.

  • Every interaction, recorded

«Assistant activity» logs each interaction with its actions and whether they worked. «Pause AI» stops it in a single chat, and how conversations are shared out is explained in CRM for WhatsApp.

Menus versus natural language

From numbered buttons to a conversation with rules.

A menu bot

  • It forces people to pick from numbered options and gets stuck on anything unexpected.
  • Every reply is written in advance, even if the price has changed.
  • Reaching a person depends on finding the right option.
  • The team cannot see what it answered or why.

Aipiter’s AI agent

  • It understands the question as it arrives and answers with what has been published.
  • It checks the price and the time in the catalogue and the calendar before giving them.
  • Asking for someone on the team is enough for the chat to pass to a person.
  • Every interaction leaves its actions in the conversation’s activity.

Rule-based chatbot or AI assistant

Traditional chatbots work with option trees: predictable, but they break as soon as someone writes the way they speak. A language model understands the sentence as it comes, but without limits it can invent an opening time. Aipiter’s agent separates the two: the AI understands and drafts, the facts come from what is published, the server presents the confirmation with buttons and anything sensitive goes to the team.

The notice the European AI Act requires

Article 50(1) of the European AI Act, applicable from 2 August 2026, requires people to be told from the first interaction that they are dealing with an AI system. In Aipiter that notice is not written by the model: the server puts it before the first reply, with the business name. More in AI transparency.

A way out to a person, as WhatsApp asks

WhatsApp Business rules allow replies to be automated provided a person can be reached quickly and directly. Here that way is the conversation itself: the customer asks to speak to someone and the chat appears in the team’s inbox, with no menus or forms.

Frequent questions about the WhatsApp chatbot

How is it different from a menu chatbot?

It does not force people to pick options: it understands the question written naturally. What it says comes from what is published and from the catalogue, and anything with consequences, like a booking, goes through a confirm button.

Can it make up a price?

It is forbidden from inventing times, prices or places: it checks them in the catalogue, and an internal review removes anything unsupported from the draft. If a price is not published, it asks or passes the chat to the team.

Does the customer know they are not talking to a person?

Yes. The virtual assistant notice goes before its first reply, is written by the server and is repeated after twelve hours without messages. If asked, it also says so.

Does it book without anyone seeing?

No. The Confirm button creates a request «Awaiting confirmation» that already holds its place, and someone on the team then confirms it.

When does it hand a conversation over?

When the customer asks for a person, when the topic is on «Always hand over to a person», when they ask not to be written to again and when it cannot solve it with its tools. The chat appears in «Need attention».

Which languages does it reply in?

Spanish, Catalan or both, depending on what you switch on in its settings. If the customer says which they prefer, it is saved in their record.

Does it take phone calls too?

Yes, through the AI receptionist, which checks the same information as this assistant; each call is saved, written out and summarised, with the customer’s chats. WhatsApp voice notes, on the other hand, are listened to by someone on your team.

Have it answer the way your business would.

We show you conversations similar to your business’s own, from the first question to the appointment in the calendar, and go over what your team would need to publish.
