Clocking in and working-time records

Employee time tracking without sign-in sheets or wall clocks.

Each person clocks in, takes breaks and clocks out from their phone. You see the team’s hours, corrections are logged and the record is ready whenever it is asked for.

Time tracking

  • Clocking from the phone
  • Breaks and split shifts
  • Corrections with a trail
  • Everyone sees their own

What Aipiter’s time tracking is

It is the working-time record in Aipiter’s team module. Each employee clocks from their phone when they start, pause and finish; the panel adds up the hours per person, per day and per site. If someone forgets to clock, they request a correction, their manager approves it, and who made it and when is kept. Each person sees only their own records; whoever manages the team sees their people’s, next to their shifts and their holidays.

A day of clocking

In, break, out, no paper.

What each team member does in their working day and what their manager sees.

  1. Clock in on arrival

From the phone, with one tap, at the start of the shift, and it is stored with its time.

  2. Breaks and clocking out

Breaks and the end of the day are marked the same way. If they forget, they request a correction with the reason.

  3. The manager reviews

They see their team’s hours, approve or reject corrections and export the record when needed.

What time tracking keeps.

Six pieces designed so each day’s record is reliable and easy to keep.

  • Clocking from the phone

No clock to install and no cards to hand out: each person clocks in with their own account, from their phone or the site computer.

  • Breaks and split shifts

Each break is recorded with its start and end, so a split shift or a long break stays exactly as it happened, with no rounding.

  • Corrections with a trail

A forgotten clock-in is fixed with a request and a reason. The manager approves it and the record keeps the old value, the new one, who changed it and when.

  • Everyone sees their own

Employees see their records and their hours for the month; managers, those of their team or site. Nobody looks at someone else’s without permission, according to each person’s role.

  • Hours next to shifts and absences

Clocked hours appear next to the scheduled shift and the approved holidays and absences, so anything that does not add up stands out.

  • If you already clock with another tool

If your company clocks with Factorial, Sesame or Holded, that tool stays in charge and Aipiter reads from it. Payroll stays with your accountant or payroll software, connected through integrations.

Paper versus panel

What changes when clocking in stops being a sheet at reception.

Sign-in sheets

  • The start time is signed at the end of the day, from memory.
  • Adding up the month’s hours takes an afternoon.
  • A crossing-out does not say who made it or why.
  • Finding last year’s record means finding a folder.

Time tracking in Aipiter

  • Each entry carries the time it was made.
  • Hours per person and per site are already added up.
  • Each correction keeps the before, the after and who approved it.
  • Any month’s record exports in a moment.

What Spanish law asks of working-time records

Since 2019, Spain’s Workers’ Statute has required employers to record the start and end time of each person’s working day, every day, to keep those records for four years and to make them available to staff, their representatives and the Labour Inspectorate (article 34.9). How the record is organised is decided by each company through a collective agreement, a company agreement or after consulting staff representatives. Aipiter keeps the data that record needs; how it is run remains your company’s decision.

A clock-in app for teams that are not in an office

In a café, a gym or a home-visit team there is no computer per person and no clock at every door. That is why clocking lives on each person’s phone, and whoever runs the team sees it all together in the panel, site by site.

Tracking hours without surveillance

Clocking in is not following anyone: Aipiter notes when the working day starts and ends, not where each person is during the day. Employees always know what is kept about them, because they see exactly what their manager sees.

Clocking in, alongside the rest of the team

Time tracking shares the panel with shifts, holidays and each person’s documents in the HR software, and with the internal chat where the team flags a change. It is not one more app to maintain on the side.

Questions about time tracking

How do my employees clock in?

From their phone or a site computer, with their own account. One tap to clock in, another for the break and another to clock out.

What if someone forgets to clock in?

They request a correction from their account, with the reason. Their manager approves or rejects it, and the record keeps the old time, the new one and who approved it.

Does it work for the mandatory working-time record?

It keeps what article 34.9 of the Workers’ Statute asks for: the start and end time of each person’s working day, every day, and it exports whenever staff or the Inspectorate ask for it. How the record is organised is agreed by your company with its staff.

Does it know where each employee is?

No. It records when the working day starts and ends, not anyone’s location during the day.

Can each employee see their hours?

Yes. Each person sees their records and the hours they have worked this month. Other people’s hours are only visible to those with permission.

Does it run payroll?

No. Payroll is done by your accountant or payroll software; Aipiter hands over the hours through integrations or in a file.

I already clock in with another program. Do I have to switch?

No. If you use Factorial, Sesame or Holded, that tool stays in charge and Aipiter reads its records to show them next to shifts and absences.

Put the sign-in sheet in the drawer.

We show you clocking in from the phone and the hours panel with a team like yours, with its sites and its shifts.
