Work orders and service jobs

Work order software that tells you what is holding each job up.

Each technician has their jobs on their phone with everything they need, closes them with photos and, if something stalls them, Aipiter spots it and tells the right person.

Work orders

  • The whole job on one record
  • A checklist
  • Blockers in view
  • Proof at close-out

What Aipiter’s work orders are

It is Aipiter’s work orders module. Each work order brings together the customer, the date, the owner, resources and materials, instructions, a checklist and attachments, and moves through statuses until it is closed with proof that it is done. If something holds it up (a missing part, a pending authorisation, someone absent or a document not yet delivered), Aipiter spots it and alerts people according to your rules. Each technician sees only the jobs that are theirs, and whoever runs the team can ask what is stopping a job from being finished and see the data behind the answer.

A work order, from assignment to close-out

Assigned, done and closed.

A technician’s day with three visits, seen from their phone and from the panel.

  1. The job arrives

They see the customer, address, time, instructions and the materials they need on their phone.

  2. They do it and log it

They tick off the checklist, note an incident if there is one and attach photos of the finished work.

  3. It is closed

Only the person assigned can complete the work order. The history is kept and the manager sees it straight away.

What each work order carries.

Six pieces so each job is done right first time and leaves a record.

  • The whole job on one record

Customer, date, owner, materials, resources and instructions. The technician does not have to ring the office to ask what is next.

  • A checklist

The steps that cannot be skipped, ticked one by one on the phone, with incidents noted on the same work order.

  • Blockers in view

A missing part, no authorisation, the assigned person is away or a document is still pending: Aipiter flags it on the work order and alerts the right person.

  • Proof at close-out

Photos, notes and attachments showing how the job was left, stored on the work order and in the customer record.

  • Each technician, their own

Technicians see the jobs that are theirs; only the person assigned can complete them, and the history is never deleted.

  • Ask what is missing

Whoever runs the team asks “what is stopping this job from being finished?” and Aipiter answers with the data behind it, not a guess.

Notebook versus panel

Field work without paper job sheets lost in the van.

Paper job sheets

  • The technician rings the office to find out what is next.
  • The missing part is discovered at the customer’s door.
  • The completed sheet arrives days later, if at all.
  • Nobody knows which jobs are stuck or why.

Work orders in Aipiter

  • Each technician has their jobs on their phone.
  • What is missing shows on the work order before leaving.
  • Close-out arrives with photos on the spot.
  • Blocked jobs show up with their reason.

Work order software for technical services

Workshops, installers, refurbishment, maintenance and cleaning: businesses where the work happens away from the office and the hard part is knowing what is done, what is stuck and why. Aipiter brings the work order together with the quote, the materials and the customer.

The work order, connected to the stockroom

Work order materials come from inventory control: if a part is not there, the work order says so, and low stock prepares a purchase request that someone approves, never an order on its own.

From accepted quote to finished job

When a quote is accepted, the job is prepared in the same panel, with its date in the calendar and its owner, and the outcome stays in the customer record for the next time they call.

When the technician cannot go

If whoever had the job is off sick, the work order is marked as blocked and the manager sees on the rota who else can do it. Nobody is assigned to a job without knowing.

Questions about work orders

Do technicians need to install anything?

No. The work order opens in the phone’s browser with each technician’s account, with nothing to download.

Can photos be attached?

Yes. The technician attaches photos, notes and documents to the work order, and they stay as proof of how the job ended.

Who can close a work order?

Only the person assigned who has permission. Changes stay in the history, which is never deleted.

What if materials are missing?

The work order shows the blocker and alerts the right person. If you use inventory control, the shortage prepares a purchase request for approval.

Can I see which jobs are stuck?

Yes. Blocked work orders appear with their reason, and you can ask Aipiter what is stopping any of them from being finished.

Does it work for several technicians and vans?

Yes. Each work order has its owner and its resources, such as a vehicle or a tool, and each technician sees their list for the day.

Does it invoice the jobs?

No. Invoices are made in your invoicing software, such as Holded, connected through integrations, with the closed work order as reference.

Take the job sheets out of the glovebox.

We show you a work order for your type of service: what the technician sees, what the office sees and how it is closed.
